Order Processing Administrator

Mail Order Manager / Retail Website Management for Dynamic Environmental Business

Permanent – 9am – 5.30pm

£18,000 - £25,000 salary depending on experience

The Hemp Shop Ltd is an ethical online retailer and a leader in the environmental and sustainable benefits of the Industrial Hemp plant.  We have experienced fast growth and ongoing success and are seeking a confident and committed Order Processing Administrator to join our small but busy team.

The successful candidate will be a key member of our ecommerce team, managing the warehouse, and reporting to the Director.  The role is within the engine room of the business.  You will be responsible for each customer’s order, from the point of sale to delivery.

 

What are we looking for?

A committed understanding of today’s environmental and ecological concerns is a must.

This role also requires organisation, self-motivation, conscientious customer service, and an ability to maximise efficiency – from yourself and your warehouse staff.

The successful candidate will ensure each order is processed accurately and delivered on time, and acts as the key link in communication with customers.

You will take initiative by anticipating problems before they happen and be adaptable to changing circumstances.  An ability to work calmly within a busy and fast paced small company is crucial to this role.

 

What is the Role and Responsibilities?

Order Processing and Customer Service

  • Processing customer orders on the main business ecommerce platform – Magento - plus Amazon, Ebay etc.
  • Stock management – ordering, issuing and inputting stock inventory. Ensuring stock accuracy.
  • Handling customer queries, concerns and returns

 

Despatch

  • Daily despatch management - processing bulk mailing of our customers’ orders
  • Management of our despatch booking agents / despatch provider accounts – Royal Mail, DPD, Parcel2Go etc
  • Management of competitive despatch rates and options for our customers

 

Website Management

  • Uploading new products onto the website
  • Improving text, specifications and images of existing products
  • Updating stock on receipt of deliveries from suppliers
  • Liaising with Sales & Marketing over promotions, offers, newsletters etc

 

Job Organization and Management

  • Management of a large customer database
  • Completion of necessary administrative tasks to support the role, such as inbound deliveries, sorting and distributing mail, ordering supplies and stationery etc
  • An ability to support the Director on any special projects and procedures that improve the business operations

  • Hands on experience with office equipment / machines – computers, printers, broadband facilities etc.   Experience of MS Office suite and IT.
  • An ability to suggest and implement improvements within a growing business
